Help Streamline HR & IT Workflows with Electric Integration with Paychex Flex®

Read Time: 5 minutes Published: September 5, 2025

For businesses with 1 to 1,500 employees, managing HR and IT processes related to the employee lifecycle poses significant hurdles.

Tasks like onboarding new hires, assigning app access, and purchasing and securing devices tend to fall to already busy teams. In many cases, these tasks are manually tracked in spreadsheets or disconnected tools, leading to outdated information, unnecessary IT tickets, and hours spent figuring out who has which device.

To solve this, Electric and Paychex Flex® built an effective integration that connects the dots between HR and IT.

How the Electric <> Paychex Flex Integration Works

Electric integrates with Paychex Flex via an API integration, syncing employee status, contact information, department, and employment changes to automatically:

  • Trigger IT onboarding/offboarding tasks
  • Initiate device purchasing and shipping for new hires
  • Launch secure retrieval workflows for offboarded employees (aka easily get a laptop back from a terminated employee)
  • Automatically grant new hires the right app access—and instantly revoke it when employees leave.
  • Enforce ready-to-use security protocols—like password restrictions, firewall settings, and encryption—with the flexibility to customize or adjust them anytime.

For teams managing the employee lifecycle (from hire to role change/promotion to exits), this dramatically simplifies the onboarding and offboarding process.

To get started, reach out to our team to set up your Electric account. Once that’s done, you can connect Electric to your Paychex Flex account with ease.

Now, for onboarding: when a new hire is added to Paychex Flex, the following information automatically flows to Electric to trigger an IT onboarding flow:

Employee First Name
Employee Last Name
Employee Address
Employee Phone Number
Employee Personal Email
Employee Work Email
Employee Role
Employee Status: Active/Terminated
Employee Department
Employee Start Date
Employee Termination Date

When a new employee is hired in Paychex Flex, Electric springs into action—instantly giving you access to our online hardware store to browse, purchase, and securely ship devices and accessories.

Apps are automatically provisioned, MDM (Mobile Device Management) and security policies enforced, and every device is tracked from purchase to delivery for unmatched transparency and peace of mind.

When it comes to offboarding, Electric makes device retrieval easy.

When a Paychex Flex user initiates the offboarding process, the employee’s app access is automatically revoked and their device can be remotely wiped or locked.

They’ll receive a QR code by email and simply bring the device to any UPS location, where it’s scanned and shipped to your company headquarters, Electric’s warehouse, or any designated location.

You’ll have full visibility into the return’s tracking, with the option to have devices securely stored, cleaned, and redeployed through Electric’s warehousing service.

Taking IT Management to the Next Level

Electric’s Pro and Essentials plans empower Paychex Flex customers with device management, application provisioning, cybersecurity, and more:

Mobile Device Management (MDM): Keep all your devices secure and compliant with centralized visibility of your entire fleet of laptops and computers. Automatically deploy security patches and updates, and remotely lock and wipe lost or stolen devices.

Application Management: Integrate employees’ app access with on and offboarding workflows to automate account setup and grant role-specific permissions. Update app access in a matter of clicks when an employee joins, leaves, or changes role in your organization.

Example:
Got a new Sales hire who needs access to Slack, Salesforce, Zoom, etc? They’ll easily be granted access to these apps so they can be productive on day 1.

If that Sales employee later moves to a different department, again, with ease they can get access to any new apps they’ll need and you can immediately revoke access to any applications they no longer require.

If this employee eventually exits the organization, you can immediately lock and/or wipe their device, avoiding any security breaches.

Cybersecurity: Protect your businesses from cyber attacks with the best security solutions on the market. From password management, email antivirus, data protection, to network and endpoint security, manage it all from a single platform.

1. Why would I integrate my Paychex Flex account with Electric?
Integrating Paychex Flex with Electric makes it easy to manage all your IT onboarding and offboarding tasks within your existing HR workflows, saving you valuable time at no extra cost.

2. What information is shared between Paychex Flex and Electric?
Only the essential employee information needed to automate IT onboarding, offboarding, and hardware management is shared. This includes basic details like name, address, role, department, and employment status — nothing more. You remain in full control of your data, and Electric follows strict security and privacy standards.

3. How fast is the integration setup?
Timely and efficient. Simply head to the Integrations page in the IT Hub, enter your Paychex Flex® Client ID, and grant Electric permission to securely access your information.

4. What is asset management, and why does it matter?
Asset management means keeping track of your company’s laptops and other devices — who has what, where it is, and what condition it’s in. With Electric, this happens seamlessly as employees are onboarded or offboarded through Paychex Flex, giving you full visibility — without the spreadsheets.

5. Can I track devices I didn’t buy from Electric?
Yes! Even if you purchased devices elsewhere, you can still track them using Electric’s asset management tools. This helps you stay organized and avoid that “wait, who has that laptop?!” moment.

6. Can I use Electric if my employees are remote?
Absolutely! Electric was built with distributed teams in mind. Whether your employees work from home, a coffee shop, or an office, Electric can help get devices to them quickly, securely, and track them no matter where they are.

7. What happens if an employee doesn’t return a laptop?
Electric makes returns easy with pre-paid UPS shipping via QR code. If an employee doesn’t return their device, we will flag it in your asset list so you know exactly what’s missing. If you upgrade to device management, you can also remotely lock or wipe lost or stolen devices for added security.

8. Can I use Electric if I already have an IT provider?
Definitely. Many of our customers have an internal IT team or work with a Managed Service Provider (MSP). Electric simply takes care of the time-consuming tasks like device purchasing, asset management, and returns, so your IT team can focus on the big-picture projects.

9. Is the Electric hardware store only for laptops?
Nope! Electric’s hardware store includes laptops, but also offers monitors, keyboards, mice, and other essential tech for your team. You can manage and track those assets too — keeping your full inventory organized in one place.

10. Does Electric integrate with my SSO?
Electric doesn’t currently integrate with Single Sign-On (SSO) providers like Okta, Azure AD, or Google Workspace. However, we do offer JumpCloud SSO, which provides secure, centralized access to your applications. If SSO is something your business needs, let’s chat — our team can help you explore whether JumpCloud is the right fit.

11. How is hardware store payment set up through Electric?
It’s simple. When you purchase laptops or other devices through Electric’s hardware store, you can pay securely by credit card at checkout.

12. How does billing for Electric licensing work?
All licensing fees are billed directly to your company’s preferred payment method—either a corporate credit card or ACH transfer. This ensures a seamless, recurring payment process with no need for manual invoicing.

13. What happens if there’s an issue with my hardware order?
Don’t worry, we’ve got you! If anything comes up — like shipping delays, incorrect devices, or a technical hiccup — Electric’s support team is here to assist. You can reach out through your Electric account, and we’ll work quickly to resolve the issue so your team isn’t left waiting.

14. What if I don’t have a place to store laptops?
No problem—Electric offers secure warehousing for your devices. When employees are offboarded, you can send their laptops to our facility, where we clean them, update their condition, add them to your inventory in the IT Hub, and store them until you’re ready to ship them to a new hire. This way, you don’t have to worry about managing storage space or tracking devices yourself. A monthly storage fee applies per device.
